Domain email setup with a planned migration and handover

Home / Business & Agency Services / Business Email Setup

Business email setup connects your domain, mailboxes, users and devices to the chosen email provider. Discuss a new setup or migration with DeshTech, including existing messages and any systems that send mail using the domain.

Discuss Your Project

01 / Service fit

Where this service fits

A new mailbox setup differs from migrating historical mail. Existing calendars, contacts, archives and shared resources may require separate planning. Changing MX records alone does not migrate data or configure every device.

02 / Scope

What to plan in the scope

Mailboxes and provider

Inventory users, aliases, shared addresses, existing data and required devices. Compare provider capability and subscription requirements before changing DNS records.

Domain and authentication

Identify DNS ownership and configure the records required for the chosen provider. SPF, DKIM and DMARC play complementary roles; website forms and other legitimate senders must be considered too.

Migration and handover

Define what mail/data can be moved, the transfer method, cutover window and user setup. Document administrator ownership, account recovery and support responsibilities.

03 / Decisions

Choose the approach before the tools

Inventory every legitimate sender using the domain, including website forms and external marketing tools. Coordinate DNS changes with existing services and choose a cutover approach users understand. Keep subscription and domain ownership with clearly identified business administrators.

04 / Delivery

A reviewable delivery process

Begin with the current environment and the business outcome. Agree the responsibilities, deliverables and acceptance criteria before implementation. Work can then be divided into reviewable stages, with changes and dependencies recorded. The handover should identify account ownership, documentation and the route for any separately agreed ongoing support.

Agree the deliverables

List what will be delivered and who accepts it. Include required access, dependencies and any third-party approvals. This creates a shared basis for reviewing progress and changes.

Make the handover useful

Identify the documentation, accounts and day-to-day tasks the business needs. Ongoing care is separately agreed; it should not rely on an assumption that launch includes unlimited future support.

05 / Budget and responsibilities

What affects the project estimate

Cost depends on mailbox count, data volume, source-provider access, required device setup and migration limitations. Provider subscriptions are recurring charges. Authentication configuration improves identification of legitimate senders but cannot guarantee every email reaches an inbox.

The final proposal determines the supported platforms, included work and operational commitments for this engagement. Third-party licences, subscriptions and provider limitations should be visible in the scope. A clearly defined first stage is more useful than assuming every related task is included.

06 / Get ready

What to bring to the first discussion

Share the current systems or website, the task you want to improve, the people involved and the intended timeline. Include known constraints and available documentation. Do not send passwords, customer records or sensitive operational details through a public enquiry; access arrangements can be agreed privately.

Questions / Answers

Business Email Setup questions

Will old emails be moved?

Only the data and transfer method included in the migration scope. Access restrictions, source format and provider capabilities determine what can be moved.

Does SPF alone secure our email?

No. SPF, DKIM and DMARC address different aspects of domain email authentication. Account security, legitimate third-party senders and user practices also matter.

How do we start a discussion?

Send the current website or system context, the business goal and the required functions through the project enquiry. Scope, dependencies, timing and ownership can then be discussed before a proposal is agreed.
